The customer opens a private link, reads the T&Cs, draws a signature, types a name, enters an OTP, and pays the booking fee plus refundable deposit through Stripe. Five minutes start to finish. No PDF wrangling, no chasing.
Seven days before the event, our daily job sends the customer a single email with a one-click pay link for the balance. Stripe handles the charge, we mark the booking paid, the customer gets a receipt. You don't chase anything.
Up to 28 days out, refund the deposit and booking fee less a £50 admin charge. 14 to 28 days, refund the deposit, retain the booking fee. Inside 14 days, the policy retains both. Staff click Cancel, see a preview of the breakdown, confirm. Stripe issues the refunds. The customer gets a clear email with the figures.
For bookings where the customer wants to bring their own food, you can switch the engine to BYO mode. We add a per-cover fee for kitchen displacement and food-safety oversight, and the floor calculation moves to drinks-only cost-of-goods so the price still protects margin.
Every state change, every payment, every signature attempt, every email send is recorded against the booking. Should anyone ever ask what was agreed, you have the timestamped trail.
